How hard/complex is the system integration based on what tech I have?
- Greenhouse: Quick process within HC365. You can do this yourself within 10-15 mins.
- ATS: We use Merge to connect with most ATS systems.
- HRIS: We use Merge to connect with most HRIS systems.
- FP&A: We use a CSV upload service to your system.
- Google Sheets: We can setup an integration with Google Sheets that updates daily for your team to use/pull data into systems & FP&A models.
Which systems does Headcount365 integrate with out-of-the-box?
Most systems are able to connect with HC365 with an SFTP integration. We have a direct integration with Greenhouse. We use Merge.dev for our ATS and HRIS Integrations. We also can use a SFTP integration for HRIS and FP&A systems as well.
I have Greenhouse, how long will integration take and what’s involved?
You can quickly integrate within HC365 this information from Greenhouse: Locations, Departments, Users, Customer Fields, Recruiters, Jobs & Job Openings. This will pull the majority of information you need to configure HC365.
I have a different ATS, how long will the integration take and what’s involved?
We integrate with most ATS systems using merge. The HC365 team will drive most of this, we just need support on gathering the API keys from your ATS.
Using Merge, HC365 will set up your integration?
We just need support on getting the right API keys set up between your HRIS and Merge.
I have Workday - do I need to get my Workday team involved?
Yes, we need their assistance with providing access to the various fields to integrate with HC365.
Who do I need to get involved if I have a different HRIS system?
Whoever owns the HRIS system and can provide API Keys/configure settings to enable an integration using merge.
Do we need IT/Technical resources for the integrations?
Yes, to assist with setting up SSO.
Are the integrations 1 or 2 way and what is the sync frequency for integrations?
This is dependent on the system and fields etc.
- Changes made in HC365 and pushed to ATS happen within minutes.
- Greenhouse is a two way integration that happens instantly.
- Other ATS integrations sync frequency is every 24 hours using Merge.dev.
- HRIS (Pull) and FP&A (Push) SFTP integrations sync every 24 hour using Merge.dev.
Can we map custom fields from our ATS/HRIS (e.g., specific equity tiers or grant types)?
Yes, we can map them into fields in HC365.
How do you ensure data sync integrity between our ATS and HRIS?
Fields that are mapped between systems will automatically sync. If there is an integration error, we have a warning system to ensure it’s resolved ASAP. We can also create audit reports to show if there are discrepancies between ATS<>HC365<>HRIS.
Is our data secure? (SOC2, GDPR, etc.)
Yes we are SOC2, GDPR, and also have security tests audits etc.
